This policy explains what personal data the Bandon AFC Pitch Booking system collects, why, and what rights you have over it. It covers coaches, team managers, and admins who hold an account on this site. See also our Cookie Policy for how cookies are used.
Who is responsible for your data
Bandon AFC, County Cork, Ireland, operates this booking system and is the data controller for the information described below. Contact: admin@bandonafc.ie.
What we collect

| Password | Set by you at registration. Stored as an irreversible cryptographic hash — we cannot see or recover your actual password. |
| Role and team assignment | Set by an admin (e.g. which team(s) you coach, whether you're an admin). |
| Booking details | Pitch, date, time, activity type, and any notes you enter when you book a pitch, plus which account created or last edited each booking. |
| External group name | If a booking is for a non-club group (e.g. a school), whatever name you enter for that group. |
| IP address and browser information | Collected automatically with every request, for account security and to keep you logged in (see our Cookie Policy). |
We do not collect data about the children or players on any team — only about the adult coaches, team managers, and admins who hold accounts here. Team names may reference an age group (e.g. "U10"), but no personal information about individual players is stored anywhere in this system.
Why we process it, and our legal basis
- To provide the service — creating your account, letting you log in, and letting you book and manage pitch bookings. Legal basis: performance of a contract with you (providing the booking system you've signed up to use).
- Club administration — letting admins coordinate pitch usage across teams, resolve scheduling conflicts, and enforce pitch rules (e.g. floodlight restrictions). Legal basis: legitimate interest in running the club's facilities fairly and safely.
- Account security — IP address and session data are used to detect suspicious activity and keep your account secure. Legal basis: legitimate interest in keeping the system secure.
Who can see your data
Club admins can see all accounts and all bookings. Coaches can see their own account details and their own bookings in full; on the shared calendar, other users' bookings show the team name, pitch, and time, but not their email address or other account details.
Who we share data with
We don't sell or share your data with advertisers or marketers. A small number of service providers process data on our behalf purely to run the site:
- Hosting — our application and database are hosted by a cloud infrastructure provider, who stores the data described above on our behalf.
- Email delivery — account emails (password resets, email verification) are sent through an email delivery service.
Neither of these providers is permitted to use your data for their own purposes.
How long we keep your data
We keep your account and booking data for as long as your account is active. If you delete your account, it and your booking history are permanently removed immediately (see below) — we don't keep a backup copy beyond routine, short-lived infrastructure backups used only for disaster recovery.
Your rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data — you can update your name and email yourself in Settings
- Delete your account and data — self-service, in Settings → Delete account, or ask us to do it for you
- Object to or restrict certain processing
- Request a copy of your data in a portable format
- Complain to the Irish Data Protection Commission if you believe your data has been mishandled

Security
Passwords are never stored in plain text. Access to admin functions and other users' data is restricted by role. Data is transmitted using industry-standard encryption (HTTPS).
